Alumni network privacy policy


This notice explains how Mills & Reeve LLP, 24 King William Street, London, EC4R 9AT will collect, use or otherwise process the personal data we collect.

“Personal data” is information relating to you as a living, identifiable individual. Mills & Reeve LLP will process your personal data in accordance with data protection and privacy laws applicable to the firm (including, as applicable: the Data Protection Act 2018, the UK GDPR and the EU GDPR).

We request your personal information (name, email address, phone number) and information on your current role when you register via our website to become a member of the Mills & Reeve Alumni Network.

By submitting your personal information, you consent to our use of the information as set out in this privacy notice.

When you access the Mills & Reeve website, further relevant privacy information and details of the data we collect and process is set out in our website privacy policy and our cookies policy.

We may use the information we collect about your interactions with our website to tailor our marketing communications to those areas that we consider are most likely to interest you (“profiling”).

We may also receive information about you through your interactions with us through our Alumni X (formerly Twitter) account and the Mills & Reeve LinkedIn company page.

If you attend events at our offices, we may capture images of you on our CCTV cameras.

We will use your personal data to provide you with information in relation to the Alumni Network and/or other Mills & Reeve products and services which we believe will be of interest to you.

We, and you, have a legitimate interest in processing your personal data in order to keep you updated on Alumni Network news, as part of our establishing and maintaining a two-way enduring and mutually beneficial relationship with you.

We, and you, may also have a legitimate interest in processing your personal data to inform you about relevant events, products and services (“marketing activities”), in order that you are aware of relevant opportunities and as part of our on-going relationship. We may generate personal data about you in connection with your engagement with the Alumni Network or in connection with marketing activity. Our marketing systems record information such as your contact details, your responses to event invitations, and interactions with us and with marketing emails (eg, what events you attended, which marketing emails you have opened or what links you have accessed). They also record your preferences such as your preferred location for attending events at our offices, and of the sectors and services that you are interested in.

Under current law, certain means of communication can only be used for marketing purposes where the recipient has given advance consent to the use of that media. You can update your preferences regarding both the ways in which we can communicate with you, and the types of processing of your personal data that you permit, at any time at by clicking here.

In addition to the above, processing of your personal data may be necessary for compliance with our legal and professional obligations to third parties. This includes for example, our professional and contractual duties to the courts and our obligations to regulators (for example reporting data breaches to the Information Commissioner).

Finally, we have a legitimate interest in processing your personal data to measure and improve the performance of our websites in order to provide you with the best possible visitor experience in circumstances where your personal data is appropriately protected from misuse by technical measures, policies and procedures.

The personal data collected via your registration on our website will be seen by our marketing team to provide you with information in relation to the Alumni Network and/or other Mills & Reeve products and services which we believe will be of interest to you with your consent or our legitimate interest as described above.

From time to time we may invite you to events that we run jointly with other organisations. If you register for such an event then we may share your contact details with that organisation.

We may from time to time use our agents or service providers to assist us in these activities. In these cases relevant personal data would be provided to and processed by the provider of such services, in accordance with the terms of our contract with them and to the extent appropriate for the performance of that contract.

We do not otherwise share your data for marketing purposes.

In the course of carrying out the activities referred to above we may transfer your data to other countries, which may not have the same legal protections for your data as the UK.

Where data is being transferred outside of the UK and/or European Economic Area, we will take steps to ensure that your data is adequately protected in accordance with UK legal requirements and the EU GDPR (as applicable).

We will retain your name, contact details and marketing data until you choose to unsubscribe from our marketing communications or leave the Alumni Network. At this point your name and contact details will be placed on a “suppression list” and after 15 years deleted completely. We expect to retain any images captured on CCTV systems operated by Mills & Reeve for six months.

The periods for storage specified may alter depending on the requirements of law and regulation, best practice and insurance.

You have the right to request copies of the personal data we hold about you. If you wish to obtain a copy of your personal data, you may contact us by emailing datagovernance@mills-reeve.com

You also have the right to ask for inaccuracies in your data to be corrected, and in certain circumstances for us to stop processing your data or for your data to be erased. Some of these rights are not automatic, and we reserve the right to discuss with you why we might not comply with a request from you to exercise them.
